Booking & Cancellation Policy
At Trillium Alpine Guides, we understand that committing to a mountain adventure is a big decision. We do everything in our power to provide a safe, high-quality experience—and our policies are designed to reflect the time, planning, and resources required to make your trip possible.
Because of the complexity of logistics, staffing, and permitting, all payments are non-refundable, and our policies apply under all circumstances.
We strongly recommend purchasing trip insurance to protect your investment in the event of illness, injury, severe weather, travel delays, or other unforeseen disruptions.
Payments & Deposits
A 20% non-refundable deposit is required to reserve your program.
The balance is due 60 days before the program start date. For international trips, third-party bookings, or large groups (2+ guides), payment is due 120 days in advance.
If you book within 60 days of your program, full payment is due immediately and is non-refundable.
Cancellation & Date Changes
All payments are non-refundable, including in the event of illness, injury, travel delays, weather, or personal emergencies.
No cancellations, date changes, or group size changes are permitted within 60 days of your program.
Date change requests (when made more than 60 days in advance) are subject to availability and a $50 rebooking fee. New dates must fall within the same calendar year.
We recommend purchasing travel or trip cancellation insurance when you register, or waiting to book until your schedule is more certain.
Private Groups
For private group programs, one designated group leader is responsible for all communications and payments.
Each participant must still complete a Registration Form.
Participants under age 16 must join private trips.
Weather Policy
Mountain weather is unpredictable and part of the experience. We will operate trips in all safe weather conditions. However:
There are no refunds or reschedules due to weather.
We cannot offer “day-of” cancellations for inclement forecasts.
While we’ll make every effort to reach your objective, summits or specific goals are never guaranteed.
Guide Decision & Safety
Your guide may modify or turn back from the objective if they determine it’s necessary for group safety. This decision is based on:
Weather and current conditions
Team pace, skill level, and cohesion
Objective hazards
Please consult your doctor if you have any chronic medical conditions. Let us know in advance about any medications you’ll bring into the field.
Ratios & Group Size
Every program follows strict maximum participant-to-guide ratios as set by the American Mountain Guides Association and our safety protocols. These ratios are non-negotiable in technical terrain.
If necessary, we may adjust the group or itinerary to maintain a safe ratio. If you prefer a more individualized experience, private guiding is always available.
Acknowledgment of Risk
All participants must complete our Acknowledgment of Risk form before the trip. We encourage you to read it carefully and reach out if you have any questions.
Rock climbing, mountaineering, and backcountry skiing involve inherent risks, including those beyond our control. By signing this form, you acknowledge these risks and accept full responsibility for your participation. Trillium Alpine Guides does not assume liability for injury, death, rescue, or evacuation. All related costs are the responsibility of the participant.
Permits & Partner Organizations
All Mt. Hood Summit programs are run under permit through Timberline Mountain Guides or Oregon Ski Guides. When joining us on Mt. Hood, you are subject to the policies of these partner organizations.
